VCA Animal Hospitals Experienced Client Service Representative Needed in West Hollywood in West Hollywood, California

VCA TLC Animal Hospital is seeking an experienced Client Service Representative to join our team. As the face of our hospital, the Client Service Representative sets the tone for the practice as we build and maintain each client's trust and confidence in our abilities. The CSR is the pivot around which the hospital operates.

We are looking for someone who has the ability to work directly with our clients. Must have 1-2 years previous experience in an animal hospital .

Client Service Duties including:

  • Warmly greeting visitors, answering telephones, and guiding clients and their pets to exam rooms.

  • Being Punctual and reliable and possessing critical thinking, problem solving skills are a must.

  • Being solution orientated.

  • Excellent communication both in person and through writing.

  • Desire to exceed client expectations of service.

  • High emotional intelligence.

  • Strong attention to detail.

  • Knowledge of the spelling and meaning of commonly used terminology of veterinary medicine

  • Responsible, honest and accountable.

  • Placing outbound calls for follow-ups and reaching out to prospective clients.

  • Scheduling and confirming appointments.

  • Presenting and explaining fees, including processing payments and facilitating processing of pet insurance when applicable. Review the services that were rendered to the pet (verbally itemize the client receipt) and inform client of the total amount due.

  • Recommending, selecting, and obtaining products and services, including prescriptions.

  • Answering questions regarding products and services, including educating clients on general animal husbandry and non-medical pet care (i.e., heartworm prevention, housebreaking, and flea & tick control).

  • Willingness to learn and adapt (pet behavior, animal handling and restraint, medical terminology, etc.)

  • Ability to multitask in a fast-paced environment and remain composed under pressure

  • Managing medical records, charts, reports and correspondence.

  • Hospital maintenance (including removal of animal waste) and ensuring that facility is neat and clean at all times—both inside and outside.

Ideal candidate should have excellent client and co-worker communication skills, have a professional work ethic, and be reliable for a full time schedule. Candidate should be detail oriented, have word processing/typing skills, be familiar with digital/computer practice software, client/patient admission, scheduling appointments for multiple practitioners, obtaining and attaching referral records, transcription and letter drafts, creation and review of estimates and invoicing. Professional use of social media and marketing. Must accurately relay owner’s account on the medical complaint(s) of the animal(s) involved to the healthcare team members who will be involved in treating the patient(s). Candidate should be able to work well under pressure, show proper time management and hold a professional demeanor when working with the public. Compassion is an extremely vital part of this role. Handle emergencies by following established hospital policies and procedures in referring clients for immediate treatment of their animals when requests are accompanied by complaints of acute symptoms. Determine nature of injury/illness and attempt to reassure distressed pet owners.

Pay Range $23-$25/HR
