Location: Washington, D.C.

Position Summary:

Under direct supervision, provides general administrative and clerical support for the HR Shared Services team. Primary responsibilities include onboarding (Orientation, I-9 completion etc.), management of confidential personnel records (both physical and digital), daily monitoring of multiple HR inboxes, data entry into our HR system of record, and assistance with the contingent workforce management program. This role involves extensive scanning, filing, data entry and auditing.

Duties and Responsibilities:

  • Coordinate the onboarding of new employees, to include:

  • Ensure the timely upload of various employment agreements and contracts as well as tracking related renewals and expiration dates using Excel.

  • Monitor various HR inboxes and respond to employee inquires, and/or escalate to appropriate specialist. Respond to routine correspondence following established procedures (such as unemployment claims and employment verifications).

  • Process new hires within web-based onboarding system, ensuring all required documents are collected and processed accordingly such as policy acknowledgements, wage memos and location specific forms.

  • Ensure accurate generation of new hire/conversion alerts.

  • Ensure Form I-9's are received in time, filed accurately and kept up-to-date (including the timely removal of terminated employees from the active files and re-verifying documentation for foreign nationals when necessary).

  • Assist with the maintenance of a large volume of confidential employee files, both physical and digital. Relevant duties include:

  • Create and audit electronic scans of files and documents for upload into the Cloud, ensuring appropriate tagging and labeling.

  • Assist with the check-out procedure for physical employee files.

  • Conduct document clean-up in accordance with Company retention policies.

  • Conduct file research as requested.

  • With a high-level of accuracy, assist with a large volume of data entry and auditing related to new hires, rehires, conversions, terminations, salary adjustments, transfers, and other compensation items as well as supervisor changes, department changes, name changes, and marital status updates.

  • Serve as backup for the contingent process and provide ongoing support as needed, to include:

  • Create, monitor and close contingent job requisitions.

  • Enter new resources into HR system of record as well as applicant tracking system.

  • Track end dates.

  • Run reports and research.

  • Send new hire, extension and termination alerts.

  • Create and update contingent resource files.

  • Assist with DC based events such as:

  • HR events and meetings (i.e. SiriusXM Start, Management Trainings etc.).

  • All employee events (i.e. October Employee Gathering, Holiday Gathering etc.).

  • Perform other duties as assigned.

Supervisory Responsibilities:

  • None.

Minimum Qualifications:

  • Bachelor's degree or equivalent, relevant experience.

  • At least one year of related experience in Human Resources.

Requirements and General Skills:

  • 1 year of HRIS data entry experience preferred.

  • Recognizing and maintaining confidentiality of work materials.

  • Willingness to learn HR systems/procedures/functions quickly.

  • Ability to handle multiple tasks in a fast-paced environment.

  • Willingness to take initiative and ownership of projects.

  • Ability to perform routine clerical work.

  • Excellent written and verbal communication skills.

  • Strong organizational skills and attention to details.

  • Self-motivated and proactive.

  • Must have legal right to work in the U.S.

Technical Skills:

  • Thorough knowledge of MS-Office Suite (Word, Excel, PowerPoint, SharePoint).

  • Microsoft Windows.

  • HRIS data entry experience, ADP RM and Vantage preferred.
