Job Description Summary

Reporting to the Director of Academic Engagement, the Collections Coordinator provides support to the department with all aspects of work required to fulfill the mission of the department, particularly in supporting Penn and external University visits to the Museum’s galleries and collections classrooms. Specific duties include but are not limited to working directly with faculty to coordinate class visit schedules and ensuring staff coverage; working with collections staff to select and transfer objects between storage and classroom spaces; supervising and supporting collections study and use during visits by students and faculty; facilitating object-based learning exercises in the classroom and galleries; reviewing, assessing, and advising on new policies and procedures to ensure that curricular needs are met within existing collections policies; preparing reports and statistics on class visits, student research, and related activities. This position also supports the department during co-curricular student events like new student orientation, Making Workshops, gallery openings, and internships.

Job Responsibilities

  • Working with the Director and other collections coordinators, engage in outreach, planning, and execution of Penn class visits to the Museum’s galleries and collections classrooms. Ensure appropriate scheduling of visits and prompt and clear communication with faculty and other stakeholders in person and via class use email.

  • Liaise with the Museum’s Collections staff (keepers, collections managers, registrars, conservation, and curators) to coordinate selection, permissions, and movement of objects for class use and student researchers; document object movement in the collections database; maintain object storage in Collections Study Rooms; uphold Museum best practices, standards, and policies.

  • Set up, supervise, and support object use during classes and student research visits; facilitate object-based learning exercises; engage with student questions about collections history and object use; facilitate object handling training.

  • As needed, assist with the planning and execution of other student and faculty programming at the Museum, including special exhibitions, internships, work-study supervision, student research, and the maintenance of website, Canvas, and marketing materials.

  • Record, monitor, and report on various class use statistics for collections classroom and gallery visits, student research, and co-curricular activities, including student and faculty feedback surveys. Prepare these reports for monthly dashboards and semesterly- and annual assessments.

Qualifications

  • Minimum: BA/BS required and a minimum of 3 years of relevant experience working with museum collections, or equivalent combination of experience and education, with MA/MS preferred in a field related to Museum Studies, Archaeology, or Anthropology. Knowledge of archaeological and ethnographic materials preferred.

  • Computer literacy and experience with collections management databases are preferred; strong organizational skills and attention to detail are required; the ability to multi-task is required; object-handling experience is preferred; manual dexterity is required.

  • The Collections Coordinator position requires a strong work ethic, professionalism, and a commitment to integrity.

  • Clear communication and the ability to work as a member of a team is essential.

  • The work environment is typically a mix between sitting at a desk, standing and walking.

  • The position engages with staff, faculty, and students regularly.

  • A friendly, outgoing demeanor is encouraged, and an embracing of DEIA principles is required.

  • Occasionally lifting up to 25 lbs and use of a ladder.

  • No supervisory responsibilities.

  • Occasional evening and weekend hours as needed.

SKILLS

  • Bachelor's degree and 3 years’ experience with museum collections, ideally with archaeological and anthropological collections, or object-based learning preferred.

  • Content knowledge of the art history or anthropology/archaeology of South Asia, the Middle East, or Africa preferred.

  • An understanding of historic and contemporary issues in anthropology, archaeology, and museum studies;

  • Commitment to creating an inclusive, diverse, equitable, and accessible museum field.

  • Excellent written and oral communication skills.

  • Highly organized and detail-oriented
