Description

As the Office Manager/Front Desk Coordinator at our fashion company, you will play a key role in ensuring the smooth operation of our office and providing excellent front desk support.

Your responsibilities will include:

Front Desk Duties: Serve as the first point of contact for visitors, clients, and vendors, providing a warm and detail oriented welcome. Answer and direct incoming calls, taking messages, and handling inquiries promptly and courteously. Manage incoming and outgoing mail, packages, and deliveries, distributing them to the appropriate recipients. Maintain cleanliness and organization of the reception area, ensuring a welcoming and presentable environment. Schedule and coordinate appointments, meetings, and conference room reservations as needed. Assist with travel arrangements and accommodations for employees, including booking flights, hotels, and transportation. Coordinate with building management and external service providers to address facility maintenance and security needs. Office Management: Oversee office supplies and inventory, ensuring adequate stock levels and ordering supplies as needed. Manage office equipment, including copiers, printers, and fax machines, coordinating repairs and maintenance as necessary. Assist with facilities management, including coordinating office moves, renovations, and repairs. Support HR functions such as new employee onboarding, maintaining employee records, and coordinating office events. Assist with administrative tasks such as data entry, filing, and document preparation.

Requirements Previous experience in office administration, reception, or front desk coordination, preferably in a fashion or creative environment. Excellent interpersonal and communication skills, with a friendly and detail oriented demeanor. Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively. Proficiency in Microsoft Office suite (Word, Excel, Outlook) and other office software. Ability to work independently with minimal supervision, as well as collaboratively as part of a team. Flexibility to adapt to changing priorities and handle occasional overtime or special projects. Knowledge of fashion industry trends and terminology is a plus.
