We are looking for a dynamic Program Coordinator / Analyst to join our team! The Program Coordinator / Analyst will support the Office of the Under Secretary of Defense, Personnel and Readiness (OUSD P&R) issuances and regulatory program by performing a variety of technical, analytical, and administrative project tasks.

This position is located in Arlington, VA (Pentagon).

Responsibilities

  • Provide extensive administrative and analytical services for processing of DoD issuances and federal register regulations in support of OUSD P&R directorates and leadership

  • Use critical thinking, reviews, writes, rewrites, edits, proofreads, and assists Government staff as they prepare packages for short-turn deliverables to senior DoD leadership in accordance with applicable DoD Manuals for Written Materials

  • Ensure all external correspondence coordination is accomplished within assigned suspense times with the appropriate response

  • Support program, change management and communication efforts for a wide range of executive services supporting the issuances and regulatory portfolio

  • Provide substantive technical support to the development and maintenance of the issuances and regulatory program

  • Support may include the development of information papers, frequently asked questions, policy change proposals, and briefing material

  • Support the development and revision of policy drafts and managing the coordination of documents within DoD policy portals while resolving issues as they arise

  • Coordinate recommended changes and updates to DoD issuances and regulatory forms via CATMS with all DoD Components, reconcile feedback and changes, and develop final drafts for review

  • Coordinate with OUSD(P&R) and Washington Headquarters Service (WHS) forms and issuances POCs, WHS Information Management Office, Assistant to the Secretary of Defense for Privacy, Civil Liberties and Transparency, and other appropriate offices of responsibility to recommend updates and changes to existing or new issuances and regulatory actions

  • Provide operational services and knowledge management support including file consolidation and management of departmental SharePoint site

  • Develop and maintain a tracking system of document status

  • Develops and modifies SOPs and supports stakeholder compliance to standards as appropriate

  • Have experience managing competing priorities and working both horizontally and vertically in and across organizations

  • Assist client in developing a regulatory strategy for upcoming projects and assigned high-level taskers

  • Proactively manages and communicates issues, progress, and timeliness risks throughout the issuance and regulatory lifecycle process, ensuring key stakeholders are informed

Qualifications

  • Active Secret DoD Clearance

  • Bachelor's degree or experience in doing similar work

  • Minimum of three (3) years relevant professional work experience

  • Demonstrated skills to perform all required duties

  • Ability to work responsibly and independently with minimal direct supervision

  • Experience with standard MS Office suite products and SharePoint

  • Must be United States citizen to obtain and maintain a DoD security clearance

Desired Skills and Experience

  • Advanced Excel skills highly preferred

  • Degree in English, journalism, or policy

  • Experience working in or supporting the White House or Office of the Secretary of Defense

  • Familiarity with DoD manual for Written Materials

  • Familiarity with the preparation and maintenance of regulatory submissions

  • Experience supporting the military, Veterans Administration, or prior military experience

  • Experience providing customer service support will be considered an asset
